Application Information for Summer Residence 2023 (Continuing UGs)

Application Period: 18 April 2023 - 24 April 2023

IMPORTANT POINTS TO NOTE: 

1. All applicants must provide accurate and complete information provided in the hall application. Provision of inaccurate or incomplete information may lead to disqualification and cancellation of the housing application and associated offer and may subject to further disciplinary action. 

2. Applications are not on first-come-first-serve basis; all applications received during the application period are processed together. 

3. Online system for applications and acceptance of hall offers is closed automatically by the respective deadlines. Late submission of applications / late acceptance of hall offers will not be considered. Only submissions successfully recorded in the online system will be considered and processed. 

4. Upon successful submission of application / acceptance form via the online system, an acknowledgment email will be sent to the applicants' HKUST ITSC email address. Applicants should make sure that they check their mailbox including the spam and junk mail folders for the acknowledgment email. Students who do not receive an acknowledgment email may consider that their submission as NOT successful and should submit again before the application period ends.  

5. After a student has submitted the hall application, the information on the online system cannot be changed. If applicants wish to change the reported information, they should write to ughousing@ust.hk before the application deadline. No changes will be considered after the application deadline. 

6. Hall Attendants may clear all personal belongings of those who do not check-out by the end of the summer residence period; neither the University nor the Hall Management will be responsible for any loss or damage of personal properties arising from such action. Penalties will be levied on the residents who fail to check-out by 12noon on 14 August 2023 and their hall offers for 2023-24 may be recovered. 

Eligibility

All FULL-TIME REGISTERED Continuing UG students of the University are eligible to apply for Summer Residence 2023. 

Hall offer becomes null and void once a student ceases to be a full-time registered student, and it is the student’s responsibility to inform the Student Housing and Residential Life Office in writing and vacate from the student accommodation immediately. In general, all hall charges paid are non-refundable and non-transferable.  

 

For the attention of Inbound Exchange Students in Spring 2023 

Incoming exchange students in Spring 2023 are NOT eligible to apply for Summer Residence 2023. You must obtain certification from the Office of Global Learning and the School of study at HKUST that your exchange period is extended beyond Spring Term 2023 if you wish to cover your residential period in summer term.

IMPORTANT NOTE: 

Not the entire building listed above is available for Summer Residence 2023. Some floors / rooms may be blocked for renovation and maintenance or earmarked for guest accommodation. Availability of UG Halls, floors, room types and rooms are subject to further confirmation and adjustment due to possible unexpected renovation, repair and maintenance works during the summer.

The replacement of smart meters for air-conditioning in rooms in UG Hall I to UG Hall V is scheduled to take place from June to August 2023. Technicians will be accompanied by hall attendants to enter student rooms to carry out necessary works. There may also be dust and noise generated during this period due to the construction activities. Residents are advised to take note of this and keep their belongings in a safe place during this period.

Requests for early check-in or late check-out will NOT be entertained. All residents in Summer 2023 are required to check-out of the hall no later than 12noon, 14 August 2023

Admission Priority

Summer residence is offered in the following priority:

1. Applicants with academic engagements in Summer 2023

  • Summer Course
  • Undergraduate Research Opportunities Program (UROP)
  • Industrial Training
  • PROGRAM REQUIRED Internship (credit-bearing / graduating requirement)

2. Applicants without academic engagements in Summer 2023 as listed in (1)

3. Applicants who are graduating

 

In case the demand exceeds supply, a random number is given to individual applicants based on the above-listed categories. Hall places will be assigned according to the random number given.

Means of Application & Acceptance of Hall Offer

Students who fail to submit the application within this application period will NOT be considered for student accommodation for the ENTIRE Summer Residence 2023.

Successful applicants are required to accept the hall offer ONLINE. They are required to follow instructions stated in the hall offer email to confirm their acceptance within 3 days from the date of email. Failure to complete the online acceptance by the deadline will result in cancellation of hall offer without prior notification.

 

NOTE TO STUDENTS WHO ARE CURRENTLY ON LEAVE OF STUDY / EXCHANGE :

Students who wish to apply for Summer Residence 2023 are required to submit an application within the aforesaid application period; no hall places will be reserved for those who fail to submit their hall applications by the application deadline.

Announcement of Hall Application Results

Application results will be announced on 5 May 2023. Email notification will be sent to applicants' HKUST ITSC email addresses.

Applicants should check with the Student Housing and Residential Life Office if they do not receive any notification by 11:59pm, 5 May 2023. 

Verification of Reported Academic Engagements

Applicants who indicated that they will have academic engagements (i.e. summer course, Undergraduate Research Opportunities Program (UROP), industrial training or program required internship) in the online application of summer residence may be required to submit relevant proofs to the Student Housing and Residential Life Office only if necessary

Some examples of the supporting documents required are:

  • SIS screenshot showing the enrollment of summer courses
  • Document of acceptance for UROP
  • Proof from ITC or Screenshot from ITC website showing enrollment of industrial training
  • Proof of internship with relevant information showing that internship is credit-bearing or is a graduating requirement

Students should submit relevant documents to substantiate the claim on academic engagements via the online hall system within the hall application period. In case the proofs are NOT YET available but can be supplied at a later time, you will receive an email request from the Student Housing and Residential Life Office in around May 2023. Failure to submit required proofs upon requested may lead to cancellation of hall offer.

Remarks:

  1. Non-local students are those holding student visas / Entry Permits to study in HKUST.
  2. Hall charges listed exclude air-conditioning and laundry charges. Room type(s) available depends on the hall allocated to successful applicants under the hall allocation mechanism; there are no room type selection / preferences in the hall application.

 
 
Payment

Hall charges are non-refundable, non-transferable and must be paid in FULL.

#This payment schedule only applies to those who have received an offer on result announcement date. Applicants in the waiting list who receive top-up offers at a later stage will have a different payment schedule which will be specified in their offers. 

 

Students may login to SIS via myPortal at http://my.ust.hk (under Student Centre) to view the charge statement and settle the charges on or before the payment due date. Please be reminded to keep a copy of the payment record in case problem with the payment arises.

Failure to settle the hall charges before the deadline will result in cancellation of hall offer without prior notification.

Hall & Room Allocation

Hall Allocation

In general, Hall and Room Allocation will be carried out on a random basis.

 

For Current Residents whose Residential Period in Spring 2023 Ends After 3 June 2023 

Successful applicants who are current hall residents in Spring 2023 will be assigned to their current hall and room in Spring 2023 subject to room availability. If their current rooms are not available, these residents will be assigned to other floors/rooms of the hall according to their residence in Spring 2023. If demand exceeds supply or due to unavailability of their current hall in Spring 2023, they will be assigned to any available hall on a random basis.

 

For Non-Current Residents in Spring 2023 

Successful applicants who are non-current hall residents in Spring 2023 will be assigned to any available hall on a random basis. 

 

Roommate Allocation

Successful applicants of the SAME GENDER may indicate their preferences for roommate(s) who are assigned to the SAME HALL in Summer 2023 in the Roommate Preference Form (Summer Residence) which will be available in around early May 2023. Successful applicants may refer to the Roommate Preference Form for details on the guidelines and the submission method after receiving the hall offer. 

Roommate preference will be considered as far as possible and subject to room availability. Successful applicants who do not indicate roommate preferences will be allocated roommate(s) randomly. 

 

Room Allocation

No room preferences will be available for this application. Rooms will be assigned by the Student Housing and Residential Life Office on a random basis.

Special Check-in Arrangements for Residents in Spring 2023

STAYING IN SAME ROOM for Summer

Hall residents will receive instructions from their respective Hall/Management Office to perform check-in procedures in around early June 2023. 

 

RELOCATING TO ANOTHER HALL / ROOM

Room relocation should be carried out between 9:00am and 6:00pm from 12-15 June 2023. Residents are required to 

  1. Stay in the same room in Spring 2023 until the night of 11 June;  
  2. Clear the room and check-out from their residence in Spring 2023 starting from 12 June, then
  3. Check-in to the newly assigned room in Summer 2023 no later than 15 June 2023. 

If the resident concerned does not comply with this arrangement, Hall Attendants may clear all personal belongings from the room of the resident concerned and neither the University nor the Hall Management will be responsible for any loss or damage of personal properties arising from such action. Availability for relocation to the assigned new room in Summer 2023 may be affected by the check-out date / relocation schedule of the previous resident. Applicants are advised to make themselves available throughout the entire relocation period (i.e. till 15 June 2023).

 

Waiting List

In case the demand of hall places is greater than the supply of Summer Residence 2023, there will be a waiting list. Hall applicants who do not receive a hall offer for Summer Residence 2023 in the main round offer will be placed on the waiting list. Waiting list ranking will be available shortly after results for successful applicants are announced. 

Notification will be sent to applicants on the waiting list whenever vacancies become available.  

Failure in completing any of the required procedures within deadlines shall result in cancellation of hall offers. 

Application for Extension of Summer Residence

Eligibility

Students MUST have

  • a valid residence in Summer 2023 till 13 August 2023 (night inclusive), AND
  • a valid residence in Fall 2023 starting from 27 August 2023

 

Residential Period & Allocation of Rooms

  • Residence covers the period from 14 to 26 August 2023 (nights inclusive); no adjustment will be considered. 
  • All students seeking for summer residence extension are committed to the residence arrangement and are liable for the hall charges incurred. 
  • Charges will be calculated on a nightly rate basis with reference to the room rate in Summer 2023.
  • Detailed payment methods and the payment schedule would be announced in separate cover.
  • Those with offered residence are only entitled to have accommodation arrangement in HKUST student halls but not automatically entitled to any specific room assignment for any specific period. Below illustrates the room relocation arrangements. 

  
Relocation Arrangement (for those assigned to different rooms in Summer 2023 & Fall 2023)

  • Residents with different room assignments in Summer 2023 & Fall 2023 are required to move between rooms IN PERSON ON SPECIFIED DATES as informed by SHRLO. 
  • Relocation will take place within the period from 14 to 16 August 2023. 
  • Residents are expected to make themselves available throughout the period from 14 to 16 August 2023 for the relocation.  Those who are not certain about their plans should NOT apply for summer residence extension. 
  • Residents will NOT be able to opt for their preferred relocation date and time (if relocation is required). 
  • Follow-up actions (e.g. penalty charges, room clearance and cancellation of any future offered residence) by the Hall Management will apply to those who fail to cope with the relocation arrangements. 

 

Application Arrangements

Relevant information will be provided to eligible students by email in around early August 2023.

 

Result Announcements

Application results and any other related information will be announced by early August 2023.

Personal information collected from applicants will be used for the admission exercise for Summer Residence 2023 and related hall activities only and kept as resident records for administrative purposes.
